VAT & billing
Last updated 16 July 2026
What you see is what you pay. No currency surprise, no tax added at the end.
Two different flows of money
People mix these up, so it is worth separating them before anything else:
| What it is | Who pays whom | |
|---|---|---|
| Your subscription | What your gym pays RollCall for the software | Your gym → RollCall |
| Member dues | What your students pay your gym for training | Your students → your gym |
This page is about the first. Dues you collect from your members are your business's income, priced and receipted by you; RollCall just records and helps collect them. See collect dues.
Prices are VAT inclusive
The Philippines applies 12% VAT to digital services under Republic Act No. 12023, in force since 18 October 2024. Every price on this site already includes it. ₱899 per month means ₱899 leaves your account, not ₱899 plus tax.
Because the price includes VAT, the tax is worked backwards out of the total rather than added on top:
| On a ₱899 charge | Amount |
|---|---|
| VAT exclusive amount | ₱899 × 100 ÷ 112 = ₱802.68 |
| VAT (12%) | ₱899 × 12 ÷ 112 = ₱96.32 |
| Total you pay | ₱899.00 |
The VAT figure is worked out and stored at the moment you pay, so a later change in rates never rewrites an old receipt.
Your receipt
Every confirmed payment generates a receipt in the app under Billing, carrying its own sequential number, the date, the period it covers, the VAT exclusive amount, the VAT, and the total. You can open it any time; it does not expire.
If your gym needs a BIR registered official receipt in a specific form for your own bookkeeping, contact us before you pay and tell us what your accountant needs, rather than after.
How you can pay
Two rails, and they behave differently on purpose:
- PayPal renews automatically until you cancel. Set it once.
- GCash, Maya, GoTyme, and bank transfer are reconcile first. RollCall shows the amount and a reference code beginning with
RC-. Put that code in the transfer note, send it, and your period activates once it is confirmed. The code is how a payment gets matched to your gym rather than guessed at, so a transfer without it takes longer.
Renewals, grace, and lapse
Reconcile first plans do not charge you silently. You get a reminder before a renewal is due, and if it is not paid your gym enters a grace period, still fully working. Only after grace does it lapse back to Free.
Lapsing never deletes anything. Your roster, attendance, and belt history stay exactly as they are. Anything beyond the Free limits becomes read only with an upgrade prompt, not an error, and paying switches it all back on. See grace period and lapse.
Refunds
The 30 day Pro trial exists so you can decide before paying anything, which is the honest way to avoid refunds. If you are charged in error, or something on our side stopped you using what you paid for, tell us and we will refund it. Cancelling mid period keeps your plan running until the period ends rather than cutting you off.
Changing or cancelling
Both live on the Billing screen in the app, and both are owner only. No staff title can be granted power over your subscription, so handing a treasurer the books never hands them your plan. See set staff roles and titles.
